SUMMARY

Provides administrative support to the Pastor of Administration to fulfill the overall goals and objectives of the Reservoir Campus and Pinelake Church. Primary responsibilities include coordinating, organizing, and planning administrative functions for the Pastor of Administration, as well as supporting collaboration across campus ministries.

GENERAL RESPONSIBILITIES

  • Works in coordination with the overall goals and objectives of the Reservoir Campus and Pinelake Church.
  • Assists the Pastor of Administration to work toward excellence in all areas of the ministry.
  • Under the leadership of the Pastor of Administration, supports collaboration with the teams led by the Pastor of Administration, when needed, to promote teamwork and contribute to the overall mission and vision of Pinelake Church.
  • Basic personal responsibilities:
    • Maintains a vital and growing personal walk with the Lord through committed Bible study, prayer, and meditation.
    • Maintains proper priorities in your home including your spouse and children (if married and/or with children).
    • Faithfully supports the ministries of Pinelake by maintaining wise stewardship measures over the resources entrusted to you.
    • Reflects a growing awareness and practice of personal emotional and spiritual health.
    • Performs duties and responsibilities in a manner to glorify Christ and further the mission and ministry purposes of Pinelake Church (Colossians 3:23-24).

SPECIFIC LIST OF DUTIES AND RESPONSIBILITIES

  • Develops a high level of proficiency with the online church management system (CMS) to assist in the overall management of facility approvals, including room reservations, updates to current reservations, and resolving reservation conflicts that are in the system to ensure accurate scheduling of all campus activities.
  • Utilizes the current room management processes to ensure proper room set-up and use, confirming and cross-checking events in coordination with the campus calendar, while maintaining communication with the facilities team on all campus room usage.
  • In collaboration with the Campus Pastor’s office and ministry team leaders, assists the Pastor of Administration in facilitating the onboarding of new staff by implementing a unique plan for each employee. Navigates execution of the onboarding plan, including coordinating schedules for meetings with pertinent staff.
  • Connects with Pinelake first time guests and maintains processes that shepherd them through initial connection opportunities.
  • Coordinates the Pinelake assimilation process with meaningful follow-up, utilizing the online church management system (CMS) to ensure all congregants take next steps in a timely manner through coordination with ministry team leaders.
  • Assists with budget management at the Reservoir Campus by scheduling budget meetings, reviewing budget reports, developing reports for ministries, and checking for timeliness in budget deadlines.
  • Serves as the Reservoir campus administrative arm of our security and medical response teams, helping with meetings, onboarding, and equipping servant leaders.
  • Oversees servant leader compliance with the Reservoir Campus safety policy (Our House Promise) by running periodic reports on OHP annual updates and background checks, helping ministry staff remain up to date on the status of servant leader teams.
  • Provides administrative support for campus gatherings including strategic and ministry planning, quarterly campus meetings, database trainings, and administrative equipping opportunities.
  • Facilitates database management for new staff hires and existing staff to ensure compliance with our policies and systems.
  • Maintains office equipment in the Reservoir workroom and coordinates ordering of appropriate supplies.
  • Assists the Pastor of Administration on all ministry initiatives.
  • Performs other duties as assigned.

EDUCATION AND EXPERIENCE REQUIRED

High school diploma or equivalent minimum; college experience preferred. Two to five years of administrative support experience.

As Pinelake's first campus, the Reservoir hosts over 6,000 weekly attenders over three services on Sunday morning. OUR STORY:

The story of Pinelake Church began in February of 1971 in Brandon, Mississippi in a mobile chapel in a rural area near The Reservoir. By God's grace and power, our faith family has grown into a dynamic church spanning five cities throughout our state -- Clinton, Madison, Oxford, the Reservoir, and Starkville. Weekly, we serve over 12,000 people, but we celebrate stories of life change one person at a time.
